Video Transcript How to Create an Absence Request How to Modify Existing Requests

If you would like to submit an absence request for your student, you can now add the request under the Attendance tile in Family Access. Please follow the steps below to submit your student’s absence request.

You can add absence requests for your child to indicate a day or range of days your student will not be in school. For example, if your child will be out sick for the day or if your child will be gone due to a pre planned trip, you can enter an absence request to indicate these details.

Entering absence requests through Family Access enables you to alert your child’s school of an absence without waiting for the office to answer a call. Within Family Access, we’ll select the Attendance tile. Let’s verify that we’re on the Absence Requests tab. We’ll add an absence request now. The Start Date and End Date fields default to today’s date. Since Hailey has a doctor’s appointment today, we’ll leave them as they are. Hailey will be absent all day, so we can leave the corresponding box checked. Let’s select Doctor/Dentist Visit as the Attendance Reason. We’ll enter a Comment, so the office knows the reason behind Hailey’s absence. We won’t be adding any attachments to this request, so we’ll leave it as is. We also don’t need to copy the request to any of Hailey’s siblings since they do not have a doctor’s appointment today. Let’s save the request. On this screen, we can see the absence request we just submitted is pending. Now that you’ve entered the absence request, the office can process it at their convenience.

 
 

 

How to Create an Absence Request

  1. Sign in to the software using your Guardian assigned username and password.
    • If you have access to more than one portal, you may need to click the down arrow  icon next to the home icon and select Family Access from the drop-down menu.
    • You will see the Family Access tile screen, where you can view tiles for all of your children.
  2. Select the Attendance tile. 
    • You can select a tile under a specific child’s name or under the View All Students heading. If you wish to view a different child’s information, you can do so by selecting that child’s name at the top left of the screen.
    • Alternatively, you can navigate to Current Attendance under Features by following the path below.
      Path: Menu >> Family Access >> Attendance
    • You will see the Student Attendance screen.
  1. Select the Absence Requests tab near the top left of the screen. You will see existing absence requests for your child.
  2. Under the Year to Date Absence Requests heading, click Add Absence Request near the right of the screen.
  1. Complete the appropriate fields. Required fields are identified with an asterisk. You must complete the required fields before you can save your work. 
    • Enter the Start Date - This defaults to the current date, but can be modified as needed.
    • Enter the End Date - This defaults to the current date, but can be modified as needed. 
    • The All Day box is checked by default. If the absence will only be a partial day, unselect All Day and enter the Start Time and End Time the student will be absent from school.
    • Enter a Guardian Comment. For example, if you wish to indicate that this request is due to vacation, you could enter “Family Vacation.” 
    • If appropriate, click Add Attachments and select a file you wish to attach to the absence request. You will see a check mark indicating the upload was successful.
    • If you have more than one child enrolled in LISD, you can check the Copy Absence Request to box for each child who should also have the absence request added if appropriate.
  1. Click Save near the top left of the screen to save your work. You will be redirected back to the Absence Requests tab of the Student Attendance screen.

You have successfully added an absence request for your child in Family Access.

 

How to Modify Existing Requests

You can make modifications to the absence request using the edit option if necessary. Both options are located to the left of each absence request you entered.

You can make modifications or add attachments at any time by selecting Edit. 

If you submitted an absence request for a future date that has been processed, you can update the values in the Guardian Comment fields.

If you submitted an absence request for a past date that has been processed, you can update the Guardian Comment fields, or add additional attachments. 

Anytime an edit is made the status goes back to Pending if it was in Processed.
